ADMINISTRATIVE ASSISTANT I

Administrative Assistant I performs a variety of administrative tasks to ensure that site and agency operations are operating effectively and efficiently.

Position Qualifications:

  1. Two years college with emphasis in business administration or a closely related curriculum, and;
  2. One year experience in an administrative staff capacity.
  3. Possession of a valid Class C or higher driver’s license and insurability by the agency insurance carrier(s).  An acceptable alternate means of transportation necessary to the completion of one’s duties may be considered.

Working Conditions:

  1. Routine duties involve interacting with a variety of individuals within the agency and community.
  2. Daily functions may include exposure to clients/family members from various ethnic, cultural and socio-economic backgrounds, with communicable diseases and some prone to violence.
  3. May have to travel between branch offices to monitor work.
  4. Will be called to address a variety of problems that may arise in a facility during non-working hours and may have to work evenings and weekends.

Scope of Position:

Administrative Assistants may perform any or all of the following tasks:

  1. Plans, assigns, oversees and evaluates the work of site office support, administrative, receptionist and clerical staff to ensure efficient and effective work.  Assists in analyzing and making recommendations on proposed changes in agency and program policies; establishes new forms, policies and procedures when necessary to make processes more efficient; and implements company policy.
  2. Prepares clear, sound, accurate, and informative statistical and technical reports, containing findings, conclusions and recommendations, on agency services, administrative functions and planning efforts.
  3. Prepares, commissions, and evaluates the appropriateness/accuracy of agency public relations material.
  4. Represents agency at public meetings and meetings with other agencies and community groups to foster good public relations and insure the maintenance of professional standards; and takes minutes when required.
  5. Corrects problems with office machine malfunctions and demonstrates ability to inspect and decide whether office equipment needs to be serviced or replaced.
  6. Performs inventory checks for needed office supplies and keeps the organization well-stocked with items needed for day-to-day operations.
  7. Adjusts schedules for unexpected absences of administrative, office, clerical staff and assumes duties if required.
  8. Leads staff meetings with administrative, office, clerical staff to discuss work progress and issues.
  9. Interviews and evaluates prospective clerical employees.
  10. Resolves interpersonal conflicts among staff.
  11. Works with vendors to ensure that the agency's telecommunications needs are met (i.e. pagers, mobile phones, web access, etc.)
  12. Designs and writes articles for quarterly company newsletter; develops flyers, prepares advertising for program and company information; prepares press releases and distributes to newspapers for placement.
  13. Evaluates program actions, policies and accomplishments.
  14. Possesses ability to promote public interest in program activities using standard methods and techniques for the preparation (writing and editing) and dissemination of pamphlets, newsletters, periodicals, and public communication media (press and radio).
  15. Attends community fairs as representative of agency; preparing informational material for agency booth.
  16. Supplies administrative support services to the Board of Directors, Executive Director, and Chief Operating Officer.
  17. Uses independent judgment to complete activities and operates under minimal supervision.
  18. Acts as administrative liaison between internal and/or external sources.
  19. Facilitates orientations by planning and organizing events, securing locations, speakers, supplies and meals.
  20. Prepares payroll check release forms or distributes payroll, and prepares any attachments that are to be released with payroll checks.
  21. Plans functional program activities - i.e., helping to secure donations for Thanksgiving and Christmas food and toy baskets for clients.
  22. Observes situations portending to be problematic and resolve as needed.
  23. Communicates effectively, both orally and in writing.
  24. Completes other duties as assigned.

REHAB SPECIALIST/CASE MANAGER

We are currently seeking dynamic and motivated individuals to work with at risk/SED youth, providing (under close supervision from professional staff) social or mental health services to clients and their families in the home, school or wherever necessary to accommodate the client and their caregiver. This position is responsible for assisting social or health service professionals, by providing supportive counseling and other services as assigned by the professional staff. Those applying must have knowledge of social and/or health service programs and an understanding of the issues of the community.

Specific Education, Certification and Skill Requirements (if applicable):

A Bachelor’s degree in a related field – OR –

High School diploma or GED plus a MIMIMUM of 3 years experience providing direct services to at risk/SED youth

Strong verbal and written skills.

Bi-lingual Spanish is a plus.

Job Description:

Responsible for meeting with clients on a regular basis and recording their interactions in the clinical files.

Work with clients as they move through the program continuum.

Provide supportive behavioral intervention as directed by professional staff.  

Secure client and agency information as outlined by HIPPA.

Assist clients in developing skills in socialization and conflict resolution.

Refer clients to community resources and other appropriate organizations.

Accompany clients on regular or emergency visits to treatment facilities, social agencies, government offices, etc.

THERAPIST

We are currently seeking dynamic and motivated MSW’s to work with at risk/SED youth, to provide individual and/or family treatment in the home, school, or wherever necessary to accommodate the client and caregiver. Therapists seeking hours towards licensure are welcome to apply.

Specific Education, Certification and Skill Requirements (if applicable):

MSW

Registration with BBS (can complete immediately following employment).

Strong clinical, verbal and written skills.

Knowledge of EPSDT Medi-Cal documentation is desirable.

Experience providing mental health treatment to children and adolescents preferred.

Bi-lingual Spanish is a plus.

Job Description:

Provide school and outpatient home-based mental health treatment to children and adolescents.

Perform evaluations/assessments to determine medical necessity.

Develop Coordination Plan with the child/adolescent and primary caregiver.

Orient, support and mentor Rehab Specialists.

Monitor client’s progress toward meeting personal milestones outlined on the Coordination Plan.

Manage an average caseload of 5 to 25 clients.

Provide individual and group therapy, as well as complete clinical assessments, treatment plans, and discharge summaries.
